Personal Estate Agent (“we”, “us”, “our”) is a platform operated by Personal Estate Agent Ltd, a company registered in England and Wales under company number 17176245, with its registered office at 58 Ramillies Road, London, NW7 4LX. We are the data controller for personal data processed through this platform and are registered with the UK Information Commissioner's Office (ICO) under registration reference ZC177527.

2. Data We Collect

2.1 Homeowner Data

When you use our chat-based matching service, we collect:

  • Name, email address, and phone number (provided during lead capture)
  • Property postcode, property type, and estimated value
  • Selling timeline and priorities
  • Chat conversation content
  • IP address and browser information

Legal basis: Consent (Article 6(1)(a) UK GDPR). You provide this information voluntarily and consent to its processing when submitting your details.

2.2 Estate Agent Data

We collect information about personal estate agents from publicly available sources, including:

  • Name, business name, and contact details
  • Service areas and specialisms
  • Reviews from Google, Trustpilot, and AllAgents
  • Social media profiles and content
  • Professional affiliations and experience

Legal basis: Legitimate interest (Article 6(1)(f) UK GDPR). We have a legitimate interest in compiling a directory of publicly operating estate agents to help homeowners make informed decisions, using information already published in a professional context. This privacy notice is made publicly available, and any agent can view, claim, correct, or request removal of their profile at any time via our opt-out page.

2.3 Claimed Agent Data

When an agent claims their profile, we additionally collect:

  • Verified email address
  • Payment information (processed by Stripe; we do not store card details)
  • Profile customisation data (bio, photo, preferences)

Legal basis: Contract performance (Article 6(1)(b) UK GDPR) and consent.

3. How We Use Your Data

  • To match homeowners with suitable personal estate agents
  • To deliver leads to matched agents
  • To display agent profiles, reviews, and ratings on the platform
  • To process subscriptions and payments
  • To improve our AI matching algorithms
  • To send service-related communications (not marketing, unless consented)
  • To comply with legal obligations

Automated Decision-Making

Automated decision-making and profiling. Our AI-powered service analyses the information you provide (such as location, property type, and stated priorities) to suggest estate agents that may suit your needs. This is a matching aid, not a decision producing legal or similarly significant effects within the meaning of Article 22 UK GDPR — you remain free to contact, or not contact, any agent. No final decision is made solely by automated means.

4. Data Sharing & Third-Party Processors

We share personal data with the following categories of third parties, all of whom are bound by data processing agreements:

  • Supabase (database hosting, EU region)
  • Vercel (website hosting)
  • Anthropic (AI processing for chat-based matching)
  • Stripe (payment processing)
  • Resend (transactional email delivery)

Homeowner contact details are shared only with agents the homeowner has been matched with and consented to contact.

5. Data Retention

  • Homeowner data: Retained for 24 months from last interaction, then anonymised or deleted.
  • Agent profile data: Retained for as long as the agent is publicly operating. Deleted within 30 days of an opt-out request.
  • Conversation data: Retained for 12 months, then anonymised for AI improvement or deleted.
  • Payment data: Retained as required by financial regulations (typically 7 years).

6. Your Rights Under UK GDPR

You have the following rights regarding your personal data:

  • Right of access: Request a copy of the data we hold about you.
  • Right to rectification: Ask us to correct inaccurate data.
  • Right to erasure: Ask us to delete your data (subject to legal obligations).
  • Right to restriction: Ask us to limit how we process your data.
  • Right to data portability: Receive your data in a structured, machine-readable format.
  • Right to object: Object to processing based on legitimate interest.
  • Right to withdraw consent: Withdraw consent at any time where consent is the legal basis.

7. Cookies

We use the following types of cookies:

8. International Transfers

Our primary database is hosted by Supabase in the European Union (Ireland). Transfers of personal data from the UK to the EEA are permitted on the basis of the UK's adequacy regulations, which recognise the EEA as providing an adequate level of protection. Some of our other processors (for example Anthropic, Stripe, Vercel, and Resend) may process data in the United States or other countries. Where personal data is transferred outside the UK to a country without UK adequacy status, we rely on appropriate safeguards — principally the UK International Data Transfer Agreement (IDTA) or the EU Standard Contractual Clauses together with the UK Addendum.

9. Data Security

We take appropriate technical and organisational measures to protect personal data, including encryption of data in transit (TLS), access controls limiting who can access personal data, use of reputable infrastructure and processors, and the principle of least privilege for administrative access. No system is completely secure, but we work to protect your data and to meet our obligations under UK GDPR.

10. Children

Our service is intended for homeowners and estate-agency professionals and is not directed at children under 18. We do not knowingly collect personal data from children.

11. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the “Last updated” date. We encourage you to review this policy periodically.
